10 Mistakes to Avoid When Leasing an Office
1. No clear office leasing plan or criteria
A clear plan and detailed criteria based on the company's needs and budget make the search for an office to lease faster and more likely to produce a suitable result.
Without a plan and criteria, the office search becomes unfocused and time-consuming, and may lead to unsuitable locations.
2. Choosing an office beyond your budget
Stretching the budget for a more expensive location can prolong the search. Worse, committing to a lease beyond the company's means creates a long-term cost burden.

3. Failing to plan for staff growth
Without allowing for expansion, a company may run out of desks and have to move before the lease ends. Early termination and relocation can be costly.
4. Treating office rent only as a cost
An office is both a workplace and part of the company's image to clients and partners. A well-located, attractive office can make a better impression. Thus office rent can also be an investment in:
- The company's image and brand;
- Employees' productivity;
- Attracting talent and retaining staff for the long term.
5. Overlooking employees when searching for an office
Alongside cost, location and brand image, consider whether the new office meets employees' workspace needs and is convenient to reach. Staff directly create value for the business, so their workplace should support their best work.
- How long will their commute be?
- Are there useful amenities nearby, including lunch options?
6. Spending too little time evaluating options
Site visits are valuable, but a quick look without detailed notes makes it difficult to compare offices and identify the best location.
7. Following the usual deposit sequence without checking costs
Office lease negotiations commonly involve two steps: (i) sign a letter of intent and pay a holding deposit equal to one month's rent; (ii) sign the contract and pay a further deposit equal to two months' rent.
Letters of intent often omit some costs payable by the tenant. Ask the landlord for a draft lease and negotiate all cost-related terms before proceeding.

8. Not remeasuring the space
The area quoted by a building may not always be accurate, so measure it again. A small monthly difference can add up substantially over a three- to five-year lease.
Floor plans may contain minor discrepancies. Remeasure before taking handover and signing the lease.
9. Allowing too little time to find an office
Except in unexpected or unavoidable circumstances, start researching the market and selecting a building four to six months before the desired lease date.
An overly short search for an office may leave too little time to negotiate rent, result in unsuitable space, and raise design, fit-out, furniture and related costs.
10. Choosing a fit-out partner too late
Selecting an interior design and fit-out partner early gives you enough time to find a company that meets quality and cost requirements.
Many design and fit-out companies will also help with space planning and preliminary cost estimates at no charge. Both are important when deciding whether to lease a particular office.
